What’s the Single Most Valuable Secret Hiding In Your CRM Data?

Your CRM is full of valuable insights. The problem is, many of those insights are likely hidden because no one has figured out how to use the data to answer the most pressing questions.

So, what’s the most valuable secret hiding in your CRM?

Based on conversations we’ve had with clients and partners, it could be who who among your contacts actually fits your ICP, which lost deals you should re-engage, who’s at risk of churning and which customers are prime candidates for upsell.

In our experience, the problem isn’t usually a lack of data. If you’re using it fully, your CRM tracks every important conversation, quote and customer interaction. The problem is that teams are too busy to ask the questions.

What’s the most important thing I need to know that my data isn’t telling me?

What would it take to get that answer?

The good news for HubSpot users is that many of the new AI tools make this undertaking much simpler. We’ve been testing Breeze agents and assistants, and there's a growing number that can now do much of the heavy lifting, surfacing the insights that make the biggest impact on revenue, customer health and growth.

Before you can get to those insights, though, your data needs to be clean. If you don’t have clean data and the prospect of cleaning it up gives you a migraine, HubSpot’s data quality software is worth considering. It helps you spot duplicates, formatting errors and missing properties so your CRM stays reliable and ready for analysis. Clean data makes all the others possible.

With that caveat, here are four questions your CRM can likely already answer – and the tools to help you answer them.

Who Among My Contacts Is Actually ICP?

It’s easy to mistake a full CRM for a healthy pipeline. But how many of the companies in your database actually fit your Ideal Customer Profile (ICP)?

Using HubSpot’s Breeze data agent and smart properties, you can automatically enrich company records with firmographic and technographic details. Instead of guessing who fits, you’ll have clear, data-backed answers based on revenue, industry, size or technology stack.

For example, if I’m running a campaign targeting prospects that already have HubSpot, I obviously need to be able to segment based on that datapoint.

Using data agent, I created a smart property called “HubSpot User?” that uses third party data including tech stack profiles to determine if a company is currently using HubSpot. I then enriched companies with one click to make sure my campaign is reaching the right companies (the whole process took about five minutes):

Most companies need more than the basics of a company's firmographics to determine if there’s truly ICP fit. Data agent helps to plug those gaps. Marketing can segment and personalize campaigns more effectively and sales can focus time on high-fit accounts instead of chasing low-value leads.

Once your ICP data is enriched and scored, you’ll have a clearer picture of where your best opportunities are hiding.

Which Lost Deals Should I Re-Engage This Quarter?

Every CRM has a long list of closed-lost deals. Some were lost for good, but many were simply a matter of timing – and staying on top of these is a common challenge we hear from clients.

HubSpot’s deal loss agent analyzes lost deals to uncover patterns and identify which opportunities might be worth another look. It can detect common reasons for loss such as pricing, features or budget and then compare those patterns to what’s changed since.

For example, if several deals were lost because prospects “weren’t ready yet” and the same companies are now hiring or increasing spend, the agent can flag them for re-engagement.

This kind of insight lets sales leaders prioritize reactivation outreach based on data, not intuition. Before launching your next quarter’s plan, it’s worth asking your CRM which past deals deserve a second chance.

Which Customers Are Most Ready for New Products or Services?

Finding upsell and cross-sell opportunities often feels like guesswork. Account managers know who’s happy but not necessarily who’s ready for more.

HubSpot’s Breeze Assistant solves that by analyzing engagement data across the customer journey. It looks at patterns in support tickets, email engagement, product usage and site behavior to highlight which customers are showing signs of interest in something new.

One thing to note: this is another example where logging all meeting and call transcripts is helpful. HubSpot can use those interactions and signals for more accurate predictive scoring, which helps surface the best opportunities to the top.

It’s an efficient way to spot expansion potential without relying solely on instinct. For many companies, this becomes one of the most reliable ways to drive additional revenue from existing relationships.

(HubSpot also has a cross-sell/upsell agent (currently in Beta) designed specifically for this task. After initial testing, the functionality is pretty limited, but that could change quickly.)

Which Customers Need TLC?

Not every customer who’s unhappy will say something. Sometimes they stop engaging quietly, and by the time it’s noticeable, it’s too late.

Keeping track of this stuff at scale is nearly impossible, which is why HubSpot’s customer health agent is very handy. It monitors engagement trends, support interactions and satisfaction signals to flag accounts that may be slipping.

If email opens, meeting activity and support scores are trending down, the agent alerts your team early enough to take action. Instead of reacting to churn after the fact, you can proactively reach out, resolve issues and rebuild trust.

For customer success and account management teams, this kind of proactive insight is invaluable for strengthening relationships and retention.
