HubSpot Integration Services

Simple Machines establishes HubSpot as a source of truth by integrating ERP, accounting, and other core systems, including Microsoft Dynamics 365, NetSuite, and QuickBooks.

Integrations that work on day one still break by month three

Connecting two systems is easy. Making their numbers agree is the work.

Where integrations break

We plan for each of these before we build.

Invoices that don't attach to companies. Revenue by account disappears from reports.

Invoices with no matching contact. They arrive orphaned and drop out of reports.

Two systems, one field, no owner. Neither one wins.

Mappings the standard sync can't handle. Custom fields and product data need extra logic.

How we work

01

Map

Inventory your systems and fields, pick the source of truth for each, and define the reports the integration must support.
02

Build

Native connector, n8n, middleware, or custom code, whichever is simplest and works. If the native connector is enough, we'll say so.
03

Verify

Reconcile HubSpot's totals against the source system, the way an auditor checks a set of books.
04

Hand off

Documentation, a named owner, and alerts when something breaks. Our managed service can keep watching it.

FAQ

Can HubSpot integrate with my ERP or accounting system?

Yes, through native connectors, middleware, or custom integrations. The connection is rarely the hard part. The work is matching records, choosing which system owns each field, and confirming the numbers agree afterward.

Why doesn't my QuickBooks revenue match my HubSpot revenue?

Usually invoices that aren't associated to company records, invoices whose contact isn't in HubSpot, or a QuickBooks account that was never connected. The records exist but are disconnected from the companies and contacts your reports use.

Should we use a native connector, middleware, or a custom integration?

The simplest option that supports your reporting. Native works when data is clean and reporting is simple. Middleware or n8n helps when there's no native support. Custom logic is for associations and mappings the standard options can't make.

What should be in place before we integrate?

Clean records on both sides, a decision about which system owns each field, and a clear idea of the reports you need. Integrating messy data just moves the mess faster. Not sure about your data? Our Data Trust Snapshot tells you in about a week.

Can you build custom integrations with n8n or other tools?

Yes. When there's no native connector, we build with n8n, middleware, or custom code, and scope each system case by case.
