Something most of us can relate to is the expectation we should be getting more done with the same (or fewer) resources.  

Responding to that reality, HubSpot has introduced Breeze Assistant, its new AI-powered assistant. (See more highlights and announcements in our INBOUND 2024 recap.)   

If you're a HubSpot user and you haven't played around with Breeze Assistant yet or you've just started dabbling, read on. In this post, we'll provide a quick overview, our two cents on what it's best suited for and suggestions for how to start leveraging HubSpot Breeze Assistant to streamline your work.    

HubSpot Breeze Assistant Overview  

HubSpot's Breeze Assistant  is an AI-powered assistant integrated directly into the HubSpot platform, and it's available with all subscriptions. It's designed to help users work more efficiently by automating tasks, generating content and providing data analysis.  

If you're of a certain age, this may bring back memories of Clippy. Hopefully, you'll find the similarities with Microsoft's much-hated Office assistant don't go deep. (Also, if you have two minutes, read that article – Clippy's legacy has taken some interesting turns since the '90s.) Unlike Clippy, Breeze Assistant leverages advanced machine learning algorithms to understand your needs and provide help across various HubSpot tools. 

Getting Started with Breeze Assistant 

As with most things in HubSpot, the best way to start leveraging Copilot is to start playing around with it. To find it, log into your HubSpot account and look for the Breeze Assistant icon – in the top navigation just to the left of our portal ID. Click on it to open the Breeze Assistant interface.  

Start with Suggested Prompts 

When you open the Breeze Assistant panel, you'll see a "See more prompts" option. If this is your first time using it, start with this.  

Here you'll find a few dozen pre-defined prompts HubSpot has curated to help you get a feel for Breeze Assistant's capabilities.  

These prompts are grouped by task category: 

  • Generate 
  • Summarize 
  • Research 
  • Reporting 
  • Add an object 
  • HubSpot how-to 
  • Prepare 

Depending on your function, some of these will be more relevant than others, so pick a few that relate to your work and give them a test. This will give you a general idea of what types of tasks you might choose to put Breeze Assistant to work.  

Important: Test Specific Prompts! 

The suggested prompts are a good starting point, but if you have any experience with generative AI, you know that the output of the AI is very dependent on the quality of the prompt. So, once you have an idea of which types of tasks will be potentially helpful, test more specific prompts.   

For example, here's a completely generic prompt:  

"Write a re-engagement email to cold leads" 

 

And Breeze Assistant's response:  

Subject: Let's Reconnect – Exciting Developments Ahead 

Hi there, 

I hope this message finds you in good spirits. It's been a while since we last connected, and I wanted to reach out and share some exciting updates that could be relevant to you. 

We've made significant strides in enhancing our offerings, focusing on solutions that cater to experienced consumers like yourself. I believe there are some fresh opportunities here that could align with your needs and goals.

Needless to say, I would still edit the email before sending it, but the second draft is MUCH closer to a relevant, personalized email I would consider sending. And it took less than a minute to write the better prompt.  

Identifying Suitable Tasks for Breeze Assistant 

As you become more familiar with Breeze Assistant, you'll get a sense of tasks that are better suited for AI assistance. Here are some possibilities to choose from: 

  1. Content Creation and Optimization: Use Copilot to draft blog posts, create product descriptions or generate ideas for your next marketing campaign. 
  1. Email Marketing: Let Copilot help you write subject lines, personalize email content and suggest the best times to send your campaigns. 
  1. Social Media Management: Generate post ideas, create captions and get hashtag suggestions tailored to your brand and audience. 
  1. Customer Service: Draft response templates for common customer queries. 
  1. Data Analysis: Ask Copilot to analyze your sales data, spot trends and provide actionable insights to improve your strategies. 

How Good is Breeze Assistant? 

The quality of the response from Copilot depends on the type of task and specificity of the prompt. Here are my initial assessments.   

Content, social media and email: It's what you'd expect from generative AI – if the prompt is good, it's a faster way to get a first draft going. Having that capability right in your portal is a win for efficiency.   

Research: I could see this being a handy tool for sales teams who want company info or recent news to tailor outreach to prospects. Plug in a URL and get immediate company intel, same-day news articles and funding information.   

Reporting and data analysis: This still has a way to go before it'll be helpful for most. I've requested a few basic reports and Breeze Assistant whiffed each one. Be prepared to be really specific and try multiple times – at which point, you might as well make the report yourself (or have your friendly neighborhood HubSpot solutions partner do it for you.) 

Best Practices for Using Breeze Assistant 

It's important to note that Breeze Assistant is a tool to accelerate your work, not replace the creativity and expertise we humans are better at summoning. Here are some best practices to keep in mind: 

  • Combine AI with Human Touch: Use Breeze Assistant's suggestions as a starting point, then refine and personalize the content to match your brand voice. 
  • Iterate and Refine: Don't be afraid to ask Breeze Assistant to revise or expand on its initial output. The more specific you are with your requests, the better the results. 
  • Maintain Brand Consistency: Always review and edit Breeze Assistant-generated content to ensure it aligns with your brand guidelines and messaging. 

Advanced Tips for Copilot  

As you become more comfortable with Breeze Assistant, try these advanced techniques: 

  • Cross-Tool Integration: Use Breeze Assistant across different HubSpot tools to maintain consistency in your marketing and sales efforts. 
  • Collaborate with Your Team: Share Breeze Assistant-generated content with team members for review and collaboration, ensuring the best possible output. 

Just the Beginning 

The version of Breeze Assistant that exists today will undoubtedly seem quaint to whatever version of this we're using a year or even six months from now – but it's a start and it's worth testing now rather than waiting (and playing catchup with your competitors).
